• Who completed the web form
• The source URL.  This is useful when multiple web sites are used
• The referrer
• Campaign code
• The web Form ID.  This is Joomla RSFORM ID

A CRM Web Forms Submissions record represent a single submission of a web form, e.g. John Smith submitted “Free Ebook” form today.

If you go to Setup -> Web Forms, you will see a list of web forms  for your websites. Clicking on  the CRM Web Form Submissions subpanel will show all the users who submitted that web form:

Similarly, on a client record you can expand Web Form Submissions subpanel and see all the web forms submitted by this user.

Most fields of the Web Form are self-explanatory:

• Form ID is the Joomla RSform ID of the web form on your web site.
• Name is the Joomla RS name of the web form on your web site.
• Website Domain indicates which web site this form is linked to.
• Parameter 1, Parameter 2 and Parameter 3 are fields that used to record additionaldetails of the submitted web form. For example, for the web form “Book Bonus – MM Series”, Parameter 1 field indicates which book was requested by the user, e.g. “Web Millionaire Secrets”.
• Status field is used to record the status of action associated with the web form. For example, for submissions of the “Free Bonus CD” form, you can set status = Completed when you sent free CD to this user.

The CRM Web forms determine the email marketing integration

With the CRM Web form Submissions module you  have full control over syncing data to the Email Marketing system.

The Web Form record in CRM controls how  the CRM Web Form Submission records will be synced to Email Marketing.

Configuration parameters are:

Email Marketing Tracking – check this checkbox to sync submissions of this form into Pure360

Email Marketing Identifier – string name that will be added to activity field in Pure360

Email Marketing Aging – number of days from web form submission that it will be synced to Pure360. E.g. if you enter 90 in this field, then submission data will be synced to Pure360 for 3 month. This setting is required to skip old form submissions that are no longer useful for marketing and minimize the length of the activity field.

Email Marketing Tracking Type – combo box to select which information will be passed into Pure360 for this web form. Options available are:

• boolean: adds identifier only, e.g. “ebook1,”. This is a simplest way to pass information that a contact submitted this web form. For example, to filter people who submitted “Free Ebook 1″ web form you can use:

activity | contains | ebook1,

(please note the comma at the end. This is important as it differentiates ebook1 from ebook12)

• date added: puts submission date after equal sign, e.g. “ebook1=2009-09-25″. Please note the date format – it allows to do some simple filtering with placeholders, e.g. by year and month. For example, to filter all contacts that submitted “Free Ebook 1″ web form in September 2009 you can use:

activity | contains | ebook1=2009-09-

• days passed: puts number of days from web form submission after the equal sing. For example, “ebook1=34,” means that this contact submitted “Free Ebook 1″ form 34 days ago. This option should be used for automated campaigns in Pure360. For example, to create a filter for auto-reminder that will be sent to people who submitted a web form a week ago you can use:

activity | contains | ebook1=7,

(please note the comma at the end. This is important as it differentiates ebook1=7 from ebook1=71)

• param 1: puts parameter 1 from the web form submission record after the equal sign, e.g. “sale=ITEM00001″ For example specific web form can be coded to put a code of the item that customer purchased on the web site into the “param 1″ field. Then those customers can be tracked in Pure360.

• param 1+2: the same as param1, but allows to pass 2 parameters separating them with the ampersand sign. Extending the above example, we can also pass payment method: “sale=ITEM00001&Visa”

Tracking codes can be added to any WordPress or Joomla URL.  The tracking code can be combined with an affiliate code.    The benefits of tracking codes include:

• Improved lead management having all sources automatically captured within your CRM system
• Reduce duplication of data.  No need to duplicate an affiliate code.  Just add a campaign code to the affiliate code
• Improved affiliate reporting. Track  your referrers with a  affiliate codes
• Improved affiliate reporting, by including tracking codes in the affiliate center.  Empower your affiliates with JV partners

All CRM records are automatically affiliates.  The quick way to get your affiliate code is to access the affiliate center.   A affiliate code can also be constructed manually.

The affiliate code uses the CRM client ID.   The above CRM ID is CLS0000001

The structure of the affiliate code is:

/?af=client-id

In the above example it would be /?af= CLS0000001

To track the URL http://www.itontap.com/crm-marketing-myob-integration with  the above affiliate it would be http://www.itontap.com/crm-marketing-myob-integration/?af= CLS0000001

In addition to having an integrated CRM affiliate tracking you can add a campaign code.

For example,

http://www.itontap.com/crm-marketing-myob-integration/?af= CLS0000001&mc=blog

The format of a campaign tracking code is

/?mc=tracking-code

When adding to an affiliate code add ‘&’

The campaign code is automatically stored in the CRM.  In the above example the tracking  code is ‘blog’.  The referrer source is also captured.  For more information please go to, http://en.wikipedia.org/wiki/HTTP_referrer.  This type of information is stored in  the visitors  browser cookie.

When the visitor submit a form  on the website. The mc code and referrer source is record into Sugar CRM under the Web Submission record.

Reports can be setup to provide further analysis.  For example all web form submissions grouped by referrer or campaign code.      Please note the affiliate code at the web form submission level represents the affiliate responsible for having the web form submitted.

To add or change an email address selects Manage Form from the Joomla Components menu.

We will use One Step – Quick Affiliate Registration form as an example.

Once you are in the form, select the User Emails tab and change the email address in the To: field.

In the RSform, there are two types of auto responders.

1)      User Emails – this is the email received by person completing the web form.

2)       Admin Emails – this is email is for specified users, and is generally an internal notification

You can make changes to the different tabs  before saving the form. Remember to save after you have completed your changes.

To modify an RSform first select the appropriate form as per step 1 below.  You can then choose to copy or edit the form.  We recommend making a back up copy of the form before applying any changes.  This can be achieved by selecting the copy function.   Please note each RSform has its own unique ID.

Install the Sugar CRM Outlook  plug-in.   After loading Outlook please go to  Tools->Sugar Options and fill in your username, password and URL.

Lastly, click on ‘Test Connection’ to confirm the connection is successful.
